Project Status

The current state of a project in its lifecycle.

Definition

Project status indicates where a Project is in its lifecycle, from planning to completion or cancellation.

Status Types

Active (1)

The project is currently being worked on.

Characteristics:

  • Shows in active project lists
  • Tasks appear in relevant views
  • Included in reviews
  • Default status for new projects

Use for: Projects you're actively working on.


Paused (2)

The project is temporarily on hold.

Characteristics:

  • Hidden from active project lists
  • Tasks are paused automatically
  • Can be resumed later
  • Maintains all project data

Use for:

  • Projects waiting for resources
  • Seasonal projects (off-season)
  • Projects blocked by external factors
  • "Someday/Maybe" projects

Example: "Garden Renovation" (paused during winter)


Completed (3)

The project has been successfully finished.

Characteristics:

  • Archived automatically
  • Records completion date
  • Tasks marked as completed
  • Hidden from active views
  • Can be viewed in completed projects list

Use for: Projects that achieved their goal.

Example: "Launch Website" → Website is live ✓


Dropped (4)

The project has been abandoned or cancelled.

Characteristics:

  • Archived permanently
  • No longer relevant
  • Tasks are dropped
  • Hidden from all views
  • Can be restored if needed

Use for:

  • Projects no longer needed
  • Cancelled initiatives
  • Ideas you've decided against

Example: "Learn Japanese" → Decided to focus on Spanish instead


Changing Status

Mark as Complete

  1. Open project
  2. Tap status field
  3. Select "Completed"
  4. Confirm

Pause a Project

  1. Open project
  2. Tap status field
  3. Select "Paused"

Effect: All active tasks in the project are automatically paused.

Resume a Paused Project

  1. Find project in paused projects list
  2. Open project
  3. Change status to "Active"

Effect: All paused tasks become active again.

Drop a Project

  1. Open project
  2. Tap status field
  3. Select "Dropped"
  4. Confirm

WARNING

Dropping a project also drops all its tasks. This action can be undone.

Status in Hierarchy

Parent-Child Projects

When you change a parent project's status:

  • Pause parent → All subprojects are paused
  • Complete parent → Subprojects remain as-is
  • Drop parent → All subprojects are dropped

Folders

Folders don't have status. Only projects do.

Active Projects

Paused Projects

  • Excluded from regular reviews
  • Can be reviewed manually
  • No review reminders

Completed/Dropped

  • Not included in reviews
  • Archived for reference
  • Can be viewed in history

Best Practices

Regular Status Updates

Review project status weekly:

  • Still active? Keep it
  • Blocked? Pause it
  • Done? Complete it
  • Not relevant? Drop it

Don't Hoard Paused Projects

If a project has been paused for 3+ months, consider dropping it.

Celebrate Completions

When completing a project, take a moment to acknowledge the achievement.
